Position: Team Assistant for United Nations Human Settlements Programme
Responsibilities
Under the direct supervision and guidance of the Chief of the Office, the candidate will do the following duties:
- Arrange appointments and meetings, maintain the Director’s agenda, receive visitors, place, and screen telephone calls and answer queries with discretion. Take care of logistical arrangements for meetings, both internal and external, some involving high-ranking officials.
- Assist the Director in meetings and draft minutes.
- Type correspondence, documents, and reports, some of which are confidential. Provide translations in Dutch, English, and French. Draft routine correspondence; Receive, screen and route correspondence and also attach the necessary background information. Maintain an office filling system. Keep a list of contact persons.
- Make travel and hotel reservations, prepare travel authorization forms and F10 forms. Leave monitoring. Handle requests for visa and any other protocol issues such as identity cards, customs clearance, and other personnel-related documents in accordance with the requirements of the United Nations and Belgium.
- Upon approval of the Director, organize the purchase of office equipment and supplies, verify the correctness of invoices and draft the monthly accounts before transmittance to the United Nations Development Programme (UNDP) for payment. Office finances. draft overviews as well as budget estimates for the Director. Draft responses to queries of Nairobi regarding the finances of the office.
- Furthermore, perform any other related functions as assigned.
Requirements
The ideal candidate will have the following qualifications
- High school diploma or equivalent education. In addition to that, additional training in the programme, project management, administration, procurement, human resources, or related area is desirable.
- Plus, three years of working experience in administrative services, office management, project contract management or related area is necessary.
- Experience working with Enterprise Resource Planning (ERP) systems such as SAP is desirable.
Similarly, working experience in an international organization is highly desirable. - For the post advertised, fluency in oral and written English is required. Working knowledge of Dutch is desirable. Furthermore, knowledge of another official United Nations language is desirable.
