Coordinator – Front Office position is available at the Design School of Arizona State University.

The Front Office Coordinator prepares and monitors office administrative activities, such as composing correspondence on own initiative, interpreting and explaining established policies and procedures in response to inquiries from a variety of sources, summarizing reports and information to facilitate review, and investigating, evaluating and resolving problems within scope of position.

Key Responsibilities

  • Implement and distribute changes to TDS Milestone requirements.
  • Assist departments in the development and communication of undergraduate internship opportunities.
  • Oversee TDS academic student workers.
  • Maintain supplies inventory for academic units, including the ordering and organization of office supplies, printing supplies, and copier supplies.
  • Manage equipment inventory, including oversight of equipment check-out.
  • Develop and coordinate all student forms using current ASU online delivery tools
  • Maintain updated room access lists and assigns access as needed for current faculty, staff, and students.
  • Receive and distribute all mail, packages, etc. received by TDS.
  • Send various TDS internal communications
  • Provide support and execution for TDS and departmental events
  • Oversee and coordinate execution of annual Design Primer summer recruitment program.
  • Assist in managing and implementing processes related to course scheduling, including courses, times, rooms
  • Provide support to advising teams by providing tours and assisting in admissions process.
  • Assist in collection and organization of data and materials required for accreditation reporting.
  • Update TDS faculty handbook with new or revised policies as needed.
  • Pull data reports and creates distribution lists as needed by Director/Associate Director/ Supervisor.
  • Oversee and distribute messages from various TDS mail accounts.

Salary

$32,459 – $36,000 per year

Qualifications and Requirements

  • Bachelor’s degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Experience in higher education environment
  • Experience in problem solving and decision-making skills
  • Experience in dealing with confidential and sensitive information
  • Experience of organizational practices and basic project management
  • Experience with Microsoft Office (Excel, PowerPoint, Word, Outlook) and Google apps (Docs, Sheets, etc.)
  • Evidence of effective verbal and written communication skills
  • Experience in establishing and maintaining effective working relationships
  • Experience in coordinating and prioritizing work and activities of self and others
