Logistics Assistant position is available at the Sourcing Support Service, the Logistics Division (LD), the Department of Operational Support (DOS) of UN.
The Logistics Assistant will report to the Chief, Life Support and Transport Section.
Key Responsibilities
- Supports senior staff with respect to end-to-end processes for all goods and services contracts.
- Maintains database used to monitor mission specific and systems contracts reports.
- Acts as focal point for the production of field mission cost estimates.
- Prepares and monitors Letter of Assist (LOA) for goods and services and obtains funding certification.
- Controls and manages the assigned product categories portfolio requisitioning and delivery.
- Records contract actions and monitors activity.
- Manages and maintains records of the procurement thresholds set for each contract.
- Initiates requisitions when required, records deliveries, progressive funding and expenditures, liaises with missions on receipts and associated actions.
- Verifies and processes the reimbursement of claimed materials submitted by Member States including the accuracy of costs, quantities and the interaction with stakeholders to ensure compliance with United Nations rules and regulations.
Qualifications and Requirements
- High school diploma or equivalent is required.
- Certification in Project Management (Prince 2 or equivalent) and Supply Chain certification (SCOR, CSCP or equivalent) is desirable.
- A minimum of five (5) years of progressively responsible experience in supply chain management, contracts administration, logistics or related area.
- Experience in Microsoft Office including Excel, Word and Power Point.
- Fuency in English is required. Knowledge of another official United Nations language is an advantage.
Preferred
- Experience in procurement and/or inventory management.
- Experience in assisting in the requisition process in the management of global systems contracts.
- Experience in the use of the Enterprise Resource Planning System, SAP/Umoja.
- Experience within the UN common system or other comparable international organization, in peacekeeping or military operations.
- Experience in developing policies, guidelines and technical writing of specifications related to equipment and materials.
