Job Description
The lead academic advisor for graduate programs and performs all related duties listed below. Oversees/trains other graduate-level advisors in the office as well as graduate assistants. Works in conjunction with the College of Business Graduate Programs Director and Department Chairs, Office of Graduate Admissions, Registrar’s office, and other academic offices regarding admission, enrollment, and promotion of graduate programs in the College of Business.
Essential Functions
- Process applications for COB graduate programs, make admissions decisions, prepare degree plans and initial communications (email) with newly admitted students
- Also, evaluate student progress from provisional to full admission, if necessary, and communicate that status change to the Office of Graduate Admissions.
- Determine if an international prospect might be a candidate for an English Proficiency Waiver (example – US licensed professional with foreign credentials). Conduct phone/personal interviews, review written essays assigned by COB, and make recommendations to the Graduate School.
- Likewise, process student Probation and Suspension forms and register students.
- Advise students’ concerns via walk-in appointments, emails, telephone conversations.
- Responsible for overseeing admissions application files, databases, and degree plans for Ph.D. in HRD candidates. Notify/admit selected students.
- Initiate retention activities such as sending emails informing students of drop deadlines, upcoming registration periods, important deadlines for financial aid, applying for graduation, etc.
- Additionally, perform degree audits and sign off on COB graduate-level Graduation Applications.
- Maintain Graduate Advising website including updated program information, degree plans, and rolling schedules.
- Furthermore, run reports to provide admission enrollment figures of students in graduate programs to the dean, directors, and department chairs.
- Also, work with the MBA Director regarding curriculum issues to be brought to the Graduate Curriculum Committee. Also, assist with reviewing the graduate portion of the catalog and course descriptions.
Qualifications for Vacancy for Program Coordinator
- Master’s Degree.
- Likewise, three (3) years in Academic Advising or student support area.
Preferred Qualifications
- Five (5) years in academic advising; at least one (1) year in graduate advising.
Knowledge, Skills, and Abilities
- Basic proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Also, excellent oral and written skills.
- Likewise, basic working knowledge of PeopleSoft, ImageNow, and familiarity of the UT Tyler website function is preferred.
