The Department of Genetics and Complex Diseases (GCD) at the Harvard T.H. Chan School of Public Health is seeking a highly motivated, organized, professional, and efficient individual to serve as Faculty Coordinator to Dr. Tobias Walther and Dr. Robert V. Farese, Jr. The Coordinator role involves high-level administrative, planning, and logistical support. The incumbent will seek continuous improvement in work processes and will be effective in managing multiple priorities. An appreciation of basic science and the role it plays in addressing public health issues is ideal.

Duties and responsibilities include, but are not limited to, the following:

  • Managing faculty calendars and schedules
  • Making travel arrangements, including booking domestic and international flights, hotel accommodations, ground transportation, and other related logistics
  • Reconciling corporate cards and other reimbursements
  • Maintaining files and documents with origination and accuracy
  • Planning and logistical support of departmental events — including symposia, meetings, postdoctoral candidate visits, and visiting scientists
  • Managing data, including tracking incoming fellows and monitoring & modifying the data collection process for training grant tables
  • Preparing background information for meetings and special projects
  • Drafting written correspondence
  • Maintaining and updating faculty CVs, biosketches, and monitoring PMCID numbers on behalf of faculty
  • Providing administrative support to the grant production process
  • Providing website updates/maintenance, symposia, meetings, postdoctoral candidate visits, and visiting scientists
  • Other duties as assigned  

Basic Qualifications

  • 3+ years of related experience; a combination of education and experience may be considered

Additional Qualifications

  • Bachelor’s Degree preferred
  • Experience with Microsoft Office Suite, including Microsoft Word, PowerPoint, Excel, and EndNote preferred
  • Excellent technical, analytical, computer, organizational, and problem-solving skills preferred
  • Experience organizing work, defining priorities, taking initiative, and meeting deadlines preferred
  • Experience using Adobe Photoshop, Illustrator, and Web page management preferred
  • Excellent time management and record-keeping skills preferred
  • Strong interpersonal and verbal/written communication skills preferred
  • High level of initiative and motivation preferred
  • Experience working independently and with a team preferred
  • Strong organizational skills and experience in handling sensitive and confidential information preferred
  • High emotional intelligence, a willingness to learn and ask targeted questions, a positive outlook, and sense of humor preferred
