Executive Assistant to the Dean position available in Danforth Campus of Washington University in St. Louis.  This position is in the Olin School of Business.

About the Position

The Executive Assistant provides administrative support for the Dean and to advance the priorities of the School and the Dean. This position works closely with the Dean and Chief of Staff to ensure that project deadlines are met and School responses are well-coordinated and well-executed.  The position requires significant substantive knowledge of the School’s academic, research, and outreach programs. The Executive Assistant will maintain a clear understanding of the Dean’s priorities. The role also requires knowledge of the Dean’s relationships with a large network of internal and external stakeholders.

Responsibilities

  • Arrange and set-up appointments and a variety of complex meetings including faculty, students, staff, donors, alumni, corporations, etc., coordinating all communication and making all arrangements.
  • Anticipate the Dean’s workload and plan time blocks for travel, speech preparation, development work, board meetings, etc.
  • Monitor the Dean’s schedule and help him/her to stay on track during the workday.
  • Track calls, take messages, and assist callers as much as possible in the Dean’s absence.
  • Use discretion in responding on behalf of Dean if information is known, to and screening callers and prioritize call backs for the Dean.
  • Research, gather data, write and prepare reports, communications, presentations, letters, memos, and emails for the Dean as needed.  Initiate and prepare drafts in advance.
  • Work closely with the Dean’s Office Team, to advance initiatives in the School’s long-range plan. Tasks include planning and coordination of on- and off-site meetings and events; collaboration with senior administrative leadership of the School about events and activities; and preparation of meeting and other materials.

Qualifications and Requirements

Bachelor’s degree and 3 years administrative experience and/or office management or High School degree and 7 years of administrative experience and/or office management.

Preferred

Bachelor’s degree plus 7 years work experience working for an executive(s) and experience with project management and coordinator.
