Program Coordinator position is available at the Program in Global Non-Communicable Diseases and Social Change (PGNCDSC) based in the Department of Global Health and Social Medicine at Harvard Medical School.

Key Responsibilities

  • Scheduling, organizing, and managing meetings, phone calls, and video conferences for the program director and other team leadership, including managing contacts with internal and external collaborators, preparing agendas, taking notes, and drafting and disseminating minutes;
  • Organizing events and meetings, including managing arrangements and budgets for use of facilities both at Harvard  and at other domestic and international venues (e.g., New York, Dubai, Rwanda), preparing agendas and other materials, and managing logistics;
  • Making travel arrangements and managing the travel budget and reimbursements for program staff and external collaborators to participate in 6-8 annual events at both domestic and international sites, including flights/ground transport, hotel accommodations, and meals;
  • Providing administrative and logistical support for clinical and research fellowships and for CME courses, seminars, and other educational initiatives, including coordinating communication and collaboration with faculty and staff at HMS and BWH on content, logistics, and budgets;
  • Monitoring and reconciling budgets and preparing financial reports for the Program Manager to review;
  • Assisting with preparation of grant proposals and reports;
  • Supporting program communications and advocacy, including drafting and editing reports and maintaining the program web page with comprehensive news and information

Qualifications and Requirements

  • Three years’ related work experience required.
  • New employees must complete a 3-month Harvard University probationary period.
  • Must maintain excellent attendance record and work consistent hours
  • Bachelor’s degree preferred.
  • Administrative experience in an academic or research setting preferred.
  • Excellent command of Microsoft Office Suite.
  • Excellent organizational skills with particular ability to prioritize work in an environment with multiple and conflicting interests.
  • Excellent interpersonal and communication skills.
  • Excellent written communication skills.
  • Ability to handle complex and confidential information with discretion.
  • Highly organized and professional, with the ability to work with colleagues from many different institutions and cultural backgrounds.
