Senior Administrative Assistant Picower Institute for Learning and Memory (PILM), to perform complex and diverse duties in support of the director. Will maintain the director’s calendar; coordinate meetings/conferences/committee activities; arrange travel; gather and analyze information and prepare memos, recommendation letters, and reports; assist in preparing and processing appointments, including visa paperwork, for incoming lab members; act as liaison between investigator and host administrators, research collaborators, postdoctoral candidates, visiting scientists, students, and vendors; facilitate the grant application process for Tsai Lab members, advise on internal NIH forms and policies, and act as liaison with MIT’s Office of Sponsored Programs; review and maintain award account records and budgets in collaboration with PILM’s finance office; process/track travel and business expense reimbursements; maintain laboratory website; organize/arrange faculty meetings; and perform related duties as directed. May assist with purchasing activities.

Job Requirements

At least five years’ experience providing complex, direct administrative support to an executive or faculty member, preferably in an academic environment; excellent communication, interpersonal, customer service, organizational, and time-management skills; ability to prioritize, pay attention to detail, problem solve, and handle multiple tasks simultaneously; experience with event and meeting planning, arranging travel, paying invoices, ordering supplies, updating websites, reconciling accounts, and expense reimbursements; experience with FileMaker Pro, MS Office (Excel, Word, PowerPoint, Access), Photoshop, Adobe Acrobat, and Outlook iCal on a Macintosh platform; working knowledge of HTML, web search engines, and editing tools such as Drupal and WordPress; ability to work independently and as a team member; discretion, diplomacy, and good judgment with confidential information; and a record of consistent and punctual attendance.  Associate’s/bachelor’s degree, experience with SAP and SAPweb, and MIT experience preferred. 
May be required to travel and work some nights and weekends.
