Job Title: Assistant, Grant Management Division

Position Summary

Assistant, Grant Management Division – GL A – French Speaking – Temporary 9 months The Assistant, Grant Management Directorate Support, contributes to the delivery of the primary business of the Global Fund: grant management through provision of executive-level administrative support to the Grant Management Division directorate team. Furthermore, the range of the work requires the incumbent to be knowledgeable about the organization of the Global Fund Secretariat, its goals, priorities. Also, products to anticipate needs and to provide a reliable and efficient support service.

Duties

Working under the direction of the Special Assistant in a highly collaborative and interactive executive front office support team, the Assistant, Grant Management Directorate Support team provides proactive high-quality administrative duties for the senior management team of the Grant Management Division with the highest level of service orientation.

Additionally, responsibilities may include (but not be limited to) screening calls; managing multiple calendars; making travel, meeting and event arrangements; preparing reports and financial data. Also, drafting complex communications (letters, minutes, reports). Likewise, handling confidential information with the utmost discretion, training and advising other support staff, and so on…

Qualifications

Essential:

Completion of secondary school or technical or commercial school or equivalent.

Experience

Essential:

  • Between 2 to 5 years of prior work experience in administration, human resources, preferably working with senior management level in the international development or health sector, or related field of work.
  • Additionally, proven efficiency in any of the following domains: service provision, performance management, planning, project management.
  • Also, a high level of planning and organization skills.
  • Likewise, reliable, innovative, and service-oriented team member with strong interpersonal skills.
  • Excellent written and oral communication skills both with internal and external audiences.
  • Similarly, strong writing, editing and proof-reading skills.

Competencies

Languages

Excellent knowledge of English and French is required for this role. Knowledge of other languages would be an asset.

Technical Competencies:

  • Service delivery: Excellent service orientation and diplomacy in dealing with people; Good knowledge of the Global Fund’s organizational structure, personnel, and administrative procedures, processes and delivery mechanisms
  • Likewise, Organization & Planning: Ability to plan, organize and coordinate services; Ability to handle multiple tasks and recognize priorities, working within tight deadlines
  • Similarly, Computer skills: Proficiency with Microsoft Outlook; Word and Excel with knowledge of PowerPoint desirable, Internet research.
  • Also, project coordination experience, and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
