Position: Document Mangement Assistant at the Department for General Assembly  and Conference Management

Roles and responsibilities

In particular, the incumbent will be accountable for the following things

  • Evaluates all pre-session documents for the General Assembly, ECOSOC and their subsidiary bodies headquartered in New York, submitted for processing, in order to verify legislative mandates, ensure compliance with submission dates, page-limitation, in accordance with relevant policies, guidelines, rules and regulations on control and limitation of documentation.
  • Assists in maintaining a computerized database in order to alert submitters of submission deadlines by electronically-generated reminders. Similarly,  provides author departments and committee secretaries with updated information as requested.
  • Respond to the written and orally to document-related queries from author departments and all processing units.
  • Also, processes as official documents of the GA, ECOSOC and Security Council, communications received from the Member States.
  • Assists senior-level staff in assigning incoming documents and tracking the workflow.
  •  Work in the compilation of statistics as related to submission compliance, and provides necessary information for workload forecasting and capacity planning.
  • Furthermore, carries out ad hoc tasks assigned by the Chief as well as performs general office management functions as required.

Requirements

In order to be eligible for the position of Documentation Assistant, the candidate must have the following things

  • Minimum high school diploma or equivalent qualification.
  • In addition to that, a minimum of five years of experience in administration/management, documentation or meetings/conference servicing is necessary.
  • Excellent teamwork, organizing and planning skills.
  • Experience in using resource management systems is desirable.
  • For this position, fluency in English is necessary. However, knowledge of any other UN official language will be an advantage.
