Position: Administrative Assistant

About ILO (International Labour Organization)

The International Labour Organization (ILO) is a United Nations agency whose mandate is to advance social justice and promote decent work by setting international labour standards. Altogether, the ILO has 187 member states including cook islands. The tripartite structure is unique to the ILO where representatives from the government, employers and employees openly debate and create labour standards. The International Labour Office is the permanent secretariat of the International Labour Organization. It is the focal point for the International Labour Organization’s overall activities. Moreover, it prepares under the scrutiny of the Governing Body and under the leadership of the Director-General.

About position

The International Labour Organization is seeking qualified and dynamic administrative assistant to operate in the country of Bangladesh. Generally, the position assists in the implementation of core services of Better Work Bangladesh in Chittagong.

Key duties

In particular, the position holder will be performing the following duties to aid the project and program

  • Carry out regular secretarial functions. Arrange appointments/meetings as well as travel for local and international consultants and other staff related to the project upon their missions to   Bangladesh.
  • Receive visitors, place and screen telephone calls and answer queries with discretion as well as provide secretarial support to national seminars/workshops.
  • Make travel arrangements and prepare travel authorizations.
  • Prepare obligations and payment requests, monitor and reconcile budget with expenditures and follow-up outstanding obligations and analyse and verify project accounts for accuracy, completeness and compliance.
  • Maintain project’s technical reports, documents, annual work plans, working papers and other related publications.
  • Maintain an appropriate file system for both incoming and outgoing communications.
  • In addition to that, perform any other related duties as required.

Minimum requirements

  • Completion of secondary school education, plus formal secretarial training from a recognized technical or commercial school or equivalent.
  • Three to four years of experience in secretarial or programme support activities plus some finance-related work. In addition to that, demonstrated skills and experience in working with UN System would be an added advantage.
  • Excellent knowledge of written and spoken Bangla and English languages.
