Position summary

The UN Office of the High Commissioner for Human Rights invites applicants to apply for Program management Assistant position. Within limits of delegated authority, the Programme Management Assistant will be responsible for the following duties:

  • Provides assistance to the Branch on staffing/recruitment and other human resources-related tasks.
  • Compiles summarizes and presents basic information/data on specific programs/project and related topics or issues.
  • Reviews budget revisions as relates to staffing/recruitment; verifies availability of funds; also ensures necessary approval and use of UMOJA.
  •  Serves as focal point for administrative coordination, involving extensive liaison with a diverse organizational units to initiate requests, obtain necessary clearances, process and follow-up on administrative actions, e.g. recruitment and appointment of personnel, travel arrangements, training/study tours, authorization of payments, disbursement of funds, procurement of equipment and services, etc.
  • Provides administrative assistance on recruitment implementation activities, processes and follows up on administrative actions via INSPIRA, screening, and evaluation of applicants, preparation of interviews and reports.
  • Provides general office assistance; response to complex information requests and inquiries, reviews, logs and routes incoming correspondence; sets up and maintains electronic files/records; organizes meetings, workshops; handles routine administrative tasks, such as maintaining attendance records, assessing telephone billing, etc.
  • Formats official reports to the Human Rights Council (HRC) and General Assembly (GA) in accordance with internal guidelines and ensures submission to the Documentation Control Unit.
  • Processes, monitors and follows up requests for budgetary, financial, personnel and other administrative actions, ensuring timeliness and correctness of submissions prepared by staff.
  • Provides guidance/training to new/junior staffs as well as performs other duties as assigned.

Required qualifications

  • High School diploma or equivalent. In addition to that, at least five (5) years of administrative experience, program or project administration, technical cooperation or related area is required.
  • Preferably three (3) years within the United Nations is desirable.
  • Experience working on Enterprise Resource Planning (ERP) systems such as Umoja is desirable.
  • Similarly, experience with the United Nations rules and procedures relating to staffing and recruitment and other human resource matters is an advantage.
  • Furthermore, fluency in oral and written English is required. In addition, knowledge of French is desirable.
