Job Summary

An employee in this position classification performs work of moderate difficulty, and analyzes domestic and international transcripts to determine whether or not courses satisfy prerequisites or apply to degrees and certificates offered by Elgin Community College. Work is defined by the ability to use all resources, including collaboration with faculty coordinators, to determine transferability of courses.  General supervision is received by the assigned manager.

Required Knowledge, Skills & Abilities:

  1. Bachelor’s degree (BA/BS) from four-year College or university; or equivalent combination of training and experience.
  2. Also, working skill in analyzing complex data to form independent decisions.
  3. Working skill in independently organizing work to meet established deadlines while maintaining attention to detail and accuracy, at times in pressure situations in a fast paced, dynamic work environment.
  4. Likewise, working skill in interpersonal interaction to be applied to a variety of individuals with differing education, ethnic and socio-economic backgrounds.
  5. Also, the skill in developing and maintaining positive and professional relationships with internal and external customers.
  6. Furthermore, skill in written and verbal communication.
  7. Also,  in operating a personal computer, applicable software and peripheral equipment as well as learning and adapting to new and updated programs and technology.
  8. Additionally, the ability to work a flexible schedule which includes days/evenings/weekends as needed by the department.

Essential Duties:

  1. Using all available resources, evaluate transcripts for students who transfer into ECC with previous post-secondary work.
  2. Additionally, creation of standard course equivalencies in student database.
  3. Research, analyze and resolve student issues as related to records.
  4. Also, collaborate with faculty coordinators to determine course equivalencies. Work with academic advisors and recruitment coordinators regarding admission/degree requirements and accreditation issues.
  5. Also, assess and enter information into student data system.
  6. Evaluate international high school/secondary transcripts to determine U.S. equivalency.
  7. Order, process and deliver transcripts using all methods.
  8. Furthermore, evaluate student records for conferral of degrees and certificates.
  9. Assist with all aspects of graduation ceremonies.
  10. Respond to all inquiries to personal and departmental phone, email and any other source as a member of the records team.
  11. Moreover, maintains required training, licensure and/or certification.
