Position Objective The Assistant to the Executive Director, reporting to the Chief of Staff, is responsible for managing/coordinating the daily secretarial and administrative tasks at the Office of the Executive Director (OED). That includes time management and scheduling on ED’s behalf. Processing and coordinating the Senior Management Team meetings.Ensuring efficient implementation of Administrative Instruction on Management of Official Correspondence and is responsible for assuring high-quality standards of external communications to be signed by, or on behalf of the ED

Duties

  • Oversee the administrative work of the Office of the Executive Director (OED). That includes organizing and prioritizing meeting requests, as well as documentation, processing, and coordination of the Senior Management Team meetings.
  • Additionally, anticipate, respond, or refer major administration issues, under the direction of the Executive Director, Chief of Staff.
  • Also, manage the official correspondence for the Executive Director.
  • Likewise, review and ensure quality control and high-quality standards of all external communications for the Executive Director to make sure that they are clear, objective.
  • Furthermore, determine required referrals, prioritize, and follow up on issues and concerns addressed to the ED, including those of a sensitive or confidential nature.

Qualifications

  • Bachelor’s degree in business management or related subjects.
  • Additionally, a minimum of 7 years of relevant experience in administration.
  • Likewise, experience working in an international organization.
  • Furthermore, excellent writing skills and the ability to produce clear and concise presentations.
  • Experience working with and organizing meetings using digital technologies.
  • Similarly, strong organizational skills that reflect the ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Additionally, the ability to work under strict timelines, and at high speed.
  • Strong judgment and decision-making skills.
  • Coordination with a variety of internal and external stakeholders for the delivery of tasks related to the post.
  • Likewise,  the incumbent should have demonstrated proactive approaches to problem-solving with strong decision-making capability.
