There is a job vacancy for a team assistant in the Department of Global Communications (DGC). The Team Assistant will report to a senior Librarian or Unit Chief and will be responsible for clerical level functions within the Content Curation Unit.
Performs a wide range of office support as well as administrative functions.
Responds or drafts responses to routine correspondence and other communications
Monitors processes and schedules related to the unit’s outputs, products, tasks, etc.
Also, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements.
Researches, compiles and organizes information and reference materials
Generates a variety of standard statistical and other reports using various databases.
Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format.
Screens phone calls and visitors
responds to moderately complex information requests and inquiries as well as refers inquiries to appropriate personnel for handling.
Assists in the maintenance of websites by scanning, converting as well as posting a variety of documents onto the site.
In addition, assists in the preparation of presentation materials using appropriate technology/software.
Maintains calendar/schedules
Also, monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit.
Performs data entry and extraction functions.
Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions.
Performs general administrative tasks to include preparing as well as processing administrative requests/documents
Maintains files (both paper and electronic) and databases for the work unit.
Guides less experienced staff on general office processes and procedures, computer applications
Evaluation of qualified candidates may include an assessment exercise. The qualification process may also include a competency-based interview.

An appointment or assignment against this position is for an initial period of one year.
Passing the Global General Service Test (GGST) is a prerequisite for recruitment consideration in the General Services and related categories in the United Nations Secretariat.
