Summary:
The position is located in the Office of Military Affairs in the Department of Peace Operations. Also, the incumbent will report to the Chief of Service/Chief of Staff and will be under the direct supervision of one or more desk officers in OMA.
Responsibilities:
- Maintains calendar/schedules of Senior Officers, including monitors changes and communicates relevant information to appropriate staff inside and outside the immediate work unit;
- Also, assists in screening documents submitted for editing for the signature of the Senior Officers in OMA/DPO in order to ensure compliance with submission standards and regulations;
- Likewise, registers incoming and outgoing texts in the OMA electronic document-tracking system
- Provides reference assistance to departmental staff, contacting other UN offices and permanent missions as necessary;
- Responds to queries from departmental Offices and Divisions concerning documents submitted for processing; refers queries to the appropriate parties as necessary.
- Ensures that all staff in OMA, have basic computer equipment, software, and telephone and e-mail services; takes charge of all arrangements connected with this task.
- Furthermore, provides basic computer technical support to all staff in OMA and performs basic trouble-shooting functions in a timely manner;
- Responds or drafts responses to routine correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports in UNITE DOCs;
- Additionally, assists in the verification of receipt and accuracy of requisite documents, approvals, signatures, etc. to ensure compliance with relevant legal, financial and other requirements;
- Furthermore, researches, compiles and organizes information and reference materials from various sources for reports, bulletins, work plans, studies, briefings, meetings/conferences, etc;
- Proofreads documents and edits texts for accuracy, grammar, punctuation and style, and for adherence to established standards for format;
- Moreover, manages phone calls and visitors.
Work Experience
- A minimum of three years of experience in general office support or related area.
- Also, experience in editing and proofreading of official documents.
- Likewise, experience in providing administrative support for senior staff is desirable.
Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English. Knowledge of another official United Nations language is an advantage.
