Duties and Responsibilities
Under the supervision of the Operations Manager, the Procurement Associate ensures transparent, efficient, and compliant procurement processes while leading the Procurement Unit. Key responsibilities include:
- Procurement Strategy & Compliance
- Implement sustainable procurement strategies aligned with UNDP rules.
- Develop SOPs, monitor procurement dashboards, and ensure proper documentation.
- Procurement Process Management
- Organize RFQs, ITBs, RFPs, and evaluate bids in compliance with UNDP policies.
- Prepare Purchase Orders, contracts, and manage vendor profiles.
- Sourcing & Supplier Relations
- Develop supplier rosters and apply best-value sourcing strategies.
- Conduct procurement training for staff and vendors.
- Administrative & Asset Control
- Serve as Asset Focal Point, maintaining inventory records and managing disposals.
- Oversee travel logistics, vehicle management, and office supplies.
- Inter-Agency Collaboration
- Support UN joint procurement initiatives and knowledge sharing.

Required Skills and Experience of Procurement Associate
Education:
- Secondary education (required).
- A university degree in Business Administration, Public Administration, Finance, Economics, or related fields is an advantage (not mandatory).
- CIPS Level 3 certification (highly desirable). Candidates with lower CIPS levels or who obtain certification within one year of recruitment will have an advantage.
Experience:
- 7 years of relevant experience (with high school diploma) or 4 years (with bachelor’s degree) in procurement or administration at national/international levels.
- At least 3 years in public sector procurement (goods/services) preferred.
- Technical Skills:
- Proficiency in Microsoft Office (Word, Excel) and ERP systems.
- Experience in supervising procurement/logistics teams (asset).
- Knowledge of UNDP procurement procedures, asset/inventory management, and procurement review committees (CAP/RACP/ACP) is desirable.
