Description:

Duties:

  • Planning, managing and executing annual symposium including but not limited to logistics pertaining to speakers, schedules, programming, room reservations, accommodations, transportation and attendee/speaker meals
  • Likewise, lead planning team and determine structure and programming format for annual symposium to ensure fluidity of program, balanced talk topics and successful event
  • Assist with program seed grant funding for junior faculty applicants by advertising and promoting opportunity, screening applicants, and organizing all necessary information for search committee
  • Similarly, schedule and organize collaborative research meetings between strategic principal investigators and departments related to cardiovascular and/or aging to facilitate shared research findings and information and collaborate on research grants
  • Also, invite speakers and independently coordinate logistics for all including but not limited to technological issues/questions, travel details, lodging, transportation, time of arrival, format of presentation and order of event/programming
  • Moreover, manage and ensure technological/IT success during programs and events
  • Manage and maintain program’s listserv.

Administrative Support

  • Track all spending accounts on a monthly basis to ensure spending matches statement of activity and integrity-based stewardship is being performed
  • Moreover, manage schedule for faculty and coordinate multiple meetings per day
  • Perform general email response with clear and professional communication skills
  • Also, maintain faculty documents (including but not limited to CV, biosketch, important figures/charts, applications, forms)
  • Organize, plan and execute research laboratory activities such as lab meetings, journal clubs, lunches and events
  • Similarly, submit PCard and travel expenses for faculty and research lab members
  • Assist in editing grants, manuscripts, power point slides, budgets and other important documents
  • Maintain and update research laboratory website
  • Additionally, order and maintain supplies inventory for office space
  • Perform ad hoc tasks as needed

Required Qualifications

  • 2-3 years of administrative experience
  • Bachelor’s degree or an equivalent combination of education and experience
  • Ability to work independently and perform tasks/projects with sound independent judgment/decision-making
  • Also, ability to work collaboratively with colleagues in a team environment (both as a leader and participant)
  • Demonstrated ability to multi-task while maintaining organization and ensuring deadlines are met
  • Commitment to customer service and ability to build and maintain professional relationships with stakeholders
  • Likewise, demonstrated ability to prioritize projects to ensure successful completion
  • Ability to delegate responsibility when needed
  • Moreover, excellent computer skills (including but not limited to typing, email etiquette, archiving)
  • Proficient in Microsoft platforms (Outlook, Word, PowerPoint, Excel) & basic web design

Desired Qualifications

  • Familiarity with sponsored research projects and a research laboratory environment
  • Furthermore, familiarity with UM’s funding opportunities within the Competition Space platform
  • Knowledge of virtual conferencing platforms (Blue Jeans, Skype, FaceTime)
  • Willingness to adapt to fast-paced environment
  • Positive and enthusiastic attitude
