The incumbent will be in charge of the following tasks below:
1. Take care of the processing of texts of various documents (correspondence, reports, tables, presentations, manuscripts), using the appropriate software. Likewise, correct syntax, punctuation and grammar, as well as the format of material and documents prepared by other staff members, to suit the requirements of the Organization. Similarly, send faxes and emails. You might also need to update specialized databases and websites.
2. Additionally, s/he will select, record, if necessary, and redirect emails and correspondence. Inform and remind responsible staff of follow-up dates, and monitor deadlines for responding to or carrying out specific actions. Write standard correspondence in one language and type in two languages. Take care of monitoring administrative tasks.
3. Likewise, create and keep up-to-date the file and reference systems of the units of work. Clarify the needs, consulted the staff of the organic services category, in relation to the specifications and location of the documents, to facilitate their search and the creation of references. Furthermore, take care of replenishing desktop material and other basic supplies from work units.
4. Provide general secretarial services for meetings.
The Secretary must meet the following criteria
secondary education or administrative vocational training.
Four years as a secretary.
perfect mastery of a working language and good knowledge of a second language to answer queries, direct emails and receive visits.
In addition to the basic competences related to the ILO, the following competences are required for this position
Ability to use text processing and email processing software. Knowledge of the Organization’s rules for the preparation of documents and the use of file systems. Likewise, the ability to respond appropriately to inquiries made by phone or in person. Also, the ability to work as a team. Ability to organize your own work. Likewise, to search the Internet. Also, the ability to use other software packages that require units of work.
